Privacy Policy

Who we are and what this covers

Knox & Key Property Buyers works with owners of residential property in Knoxville and East Tennessee. This policy explains how we handle information related to KnoxNKey.com and property inquiries made through our forms, email, or telephone. It does not cover independently operated websites linked from our site.

Information you provide

When you contact us or submit a live property inquiry, we receive the information you choose to provide. This can include your name, email address, telephone number, property address or parcel location, property type, occupancy, condition, selling timeline, reason for selling, and other property details. We may also retain correspondence and voicemail messages so we can follow up on your request.

Please provide only information relevant to your inquiry. Do not include Social Security numbers, bank or payment details, identification documents, medical information, or sensitive information about tenants or other people in this form.

Website and security information

Our hosting and communications providers may process technical information such as IP address, browser and device information, request times, and security logs to deliver and protect their services. Where our live HubSpot form uses Google reCAPTCHA, the service evaluates browser, device, and interaction signals to help detect spam, fraud, and automated submissions. Cookies or similar technologies may be used for form functionality and abuse prevention.

The current website does not include advertising pixels or a separate advertising analytics integration. We will review this policy before adding tools that materially change how visitor information is used.

How we use information

  • Respond to your inquiry and discuss your property and selling options.
  • Review property details, arrange conversations or visits, and prepare or follow up on a potential offer.
  • Maintain inquiry and transaction records and manage our communications.
  • Protect our services, investigate misuse, and meet applicable recordkeeping or legal obligations.
  • Send optional marketing emails if you choose to subscribe.

Inquiry responses and optional marketing

We use the contact information you supply to respond to your property request. The optional marketing checkbox is separate from the consent to store and process your inquiry. You can submit an inquiry without selecting marketing consent.

You can unsubscribe from marketing emails using the unsubscribe link in those messages or by contacting us. Unsubscribing from marketing does not necessarily stop correspondence about an active inquiry or transaction. The form’s email marketing checkbox is not consent to automated marketing calls or text messages.

Service providers and other disclosures

Our current setup uses Sites for website hosting, Google Workspace for business email, NumberBarn for business telephone services, and HubSpot for the property inquiry form and CRM. Google reCAPTCHA helps protect the form from spam. Form submissions are stored in HubSpot, and notifications may be sent to our business email.

Relevant information may also be disclosed to professional advisers or transaction service providers, such as a title company or closing attorney, when needed for a property transaction. Information may be disclosed when required by law or reasonably necessary to protect rights, safety, or the security of our services. These disclosures should be limited to the purpose for which they are needed.

Service providers have their own terms and privacy information. For details about HubSpot’s handling of customer data, see its Privacy Policy. For reCAPTCHA’s security processing, see Google’s reCAPTCHA information.

Retention and security

We retain information as needed to handle inquiries, maintain relevant business or transaction records, resolve disputes, and meet applicable obligations. The appropriate period depends on the information and whether an inquiry becomes a transaction. You may contact us to request deletion of information that is no longer needed; some records may need to be retained.

We use access controls and the security features available through our service providers to help protect information. No internet transmission or storage system can be guaranteed completely secure.

Your choices and requests

You can ask us what information we hold about your inquiry, request corrections, request deletion, or withdraw a consent you previously gave. Email hello@knoxnkey.com with the subject “Privacy request.” We may need to verify your identity before acting, and will handle requests according to applicable law and any necessary recordkeeping requirements.

You can also manage cookies in your browser. Blocking cookies or scripts may affect form functionality or spam verification. You may contact us directly by email or phone if you cannot use the form.

Children’s information

Our property inquiry service is intended for adults and is not directed to children under 13. If you believe a child has provided personal information, please contact us so we can review and address it.

Policy updates

We may update this policy as our services or information practices change. The date above identifies the latest revision. Material changes will be described on this page, with additional notice where required.
